Email addresses and other contact information for those trading partners and company personnel that you wish to send transactions and reports to via email can be entered using eContact. eContacts allows all important trading partner contact data to be kept within the system instead of having this info scattered around the office in the many email clients of users who come and go .
To send email via Net•Yield, email option, settings in System Options must be properly configured, and the Email Prompt Y/N in User Printing must be set to Y (Y=yes) in for each user. See System Output for more information.
This means that any time you print or otherwise output the transaction, you will be able to select the Email command option and choose from a list of eContacts which eContacts will be sent the transaction electronically.
Each eContact is associated with a category (i.e. a customer, vendor, internal company member., etc.) as well as a role (i.e. ship-to, bill-to, confirm to, etc.). These two attributes allow the system to find the contacts for the transaction based on their category role.
For Example: If eContact Joe Smith is assigned to a customer category for customer ABC, and a bill-to role, then Joe Smith's contact info will appear for sales orders and invoices for ABC company, since he is the bill-to contact. If Tom Smith is the contact for the carrier he will be included in the email contacts when the carrier is assigned to the customer's sales order.
