Vendor

Vendors are companies (trading partners) or other people that supply you with goods and services.

The Vendor table is one of the main tables in the system. This table is utilized to establish a unique code and the default values for each vendor. Once defined, these default values will automatically populate their values onto purchase orders, vouchers, and voucher adjustments as they are created.

The following fields are used in the Vendor Table and are defined below for reference. See Quick Maintenance and Import /Export Tables on how to make changes to these fields quickly across multiple vendors.

If Trace Reporting is activated in Interface Options the additional source product item attributes can be captured when items are received from the vendor in Purchasing Purchase Orders, Receiving Purchase Orders,or Purchasing and reported as the source product in the XML Import Trace Document created for the sale to your customer. Vendor Fields
Vendor The vendors' unique four to six character alphanumeric ID
Name The vendors' name
Contact The name of the vendors' primary contact. See Contacts to add additional contacts.
Address1 The first address line for the vendor
Address2 The second address line for the vendor
City (CT) The vendors' city
State (ST) The vendors' state (two-character abbrev.)
Zip (ZP) The vendors' zip code
Country If not United States, the vendors' country: Y = To enter the vendor's country
Phone 1 The primary phone number for the vendor
Phone 1 Name If needed, a descriptive name for the primary phone number (i.e. Office, Plant, Cell)
Phone 2 If needed, a second phone number for the vendor
Phone 2 Name If needed, a descriptive name for the second phone number
Phone 3 If needed, a third phone number for the vendor
Phone 3 Name If needed, a descriptive name for the third phone number
Fax The vendors' fax number
Terms The default vendor payment terms. The default comes from the Vendor Defaults - Vendor Terms setting.
Pay Date In both payment selection and AP aging, the payment date is adjusted if you want to take advantage of purchase discounts. D = Discount Date (to pay based on the discount date), U = Due Date (to pay on the payment due date without taking the discount). The default is D.
Expense Account The vendor's default expense account used in vouchers and voucher adjustments. The default comes from the Ledger Options - Purchasing Account setting.
Expense Cost Center The vendor's default expense account's cost center used in vouchers and voucher adjustments. The default comes from the Ledger Options - Purchasing Account setting.
Payables Account The vendor's default accounts payable account used in purchase orders, vouchers, and voucher adjustments. It cannot be changed if the vendor has an open/unpaid balance. The default comes from the Ledger Options - Accounts Payable Account setting.
Payables Cost Center The vendor's accounts payable account's cost center used in purchase orders, vouchers, and voucher adjustments. It cannot be changed if the vendor has an open/unpaid balance. The default comes from the Ledger Options - Accounts Payable Account setting.
Notes Notes or messages about the vendor.

Old ID

The vendor ID from your existing system used in Import/Export and Load Open Payables to link your existing ID to the new Net•Yield ID. This field will only appear if the "Old Code Conversion Mode " found in System Options is set to Y (Y=Yes).
Status Vendor status: A = active, B = buy hold (inactive but can still issue a check to the vendor), P = pay hold (can enter purchase orders and vouchers but not issue any payments or advances, I = inactive. The default is A (A = active).
Date Added The date the vendor was added to the system.
Freight Freight terms are: PPD = prepaid by the vendor, COL=collect, paid by you, PPC = prepaid and charge, paid by the vendor and billed as a line item on the purchase order. The default is PPD.
Carrier The vendor's default carrier used in purchase orders, if needed.
Consignment Vendor can be used on consignment purchase orders (Y = Yes/N = No). The default is No.
1099 Candidate Does this vendor require a 1099? (Y = Yes/N = No) The default is no.
TIN The vendor's taxpayer identification number for 1099's, if the 1099 candidate is set to Y (Y = Yes).
Corporate ID The user assigned ID code used to link similar vendors when using ESI reports and other third party report generators.
Share

Shares Portion with another Vendor.  This will not be visible if a Clearing Payables Account is not set in Ledger Options.

 

If Vendor has matching Customer-ID options will include: S = Sell, B = Both in additiona to the Y/N option.

Detail on Itemized Check If Check format = 3 in Payables Options. field will be displayed. Y = Itemized Check Stub prints the VO and AD lines when associated with a PO. Y = Yes, N = Not Using. Default is N.
   
  If an ”S” type item info template exists the following fields will also appear:
   
Fishing Vessel Is the vendor a fishing vessel? (Y = Yes/N = No). This is used with the NMFS Northeast Region - SAFIS reporting system only. The default is NO.
Vessel Registration Number The vendor's fishing vessel registration number. This is used with the NMFS Northeast Region - SAFIS reporting system only.
State Commercial Fishing License Number The state commercial fishing license number assigned to the fishing vessel or fisherman. This is used with the NMFS Northeast Region - SAFIS reporting system only.
Gear Code The fishing vessel gear code default used in purchase orders. This is used with the NMFS Northeast Region - SAFIS reporting system only.
Default Area Fished The default fishing area used in purchase orders. This is used with the NMFS Northeast Region - SAFIS reporting system only.
Default Sub Area Fished The default fishing sub area used in purchase orders. This is used with the NMFS Northeast Region - SAFIS reporting system only.
Default Port The default fishing vessel port landed code used in purchase orders. This is used with the NMFS Northeast Region - SAFIS reporting system only.

 

 

 

Trace ID

If Trace Reporting is activated in Interface Options, enter the Vendor's Supplier ID. This will activate the ability to capture the vendor's source product item attributes when Receiving Purchase Orders, or Purchasing . The source product item attributes will be traced throughout the system and automatically included when creating the XML Import Trace Documents for the customer. Leave the Trace ID field blank if not needed. See Trace Overview for more information. If the supplier ID is entered it will add two options to the command line:

  • Trace - Select to add vendor specific item info source product attribute overrides if needed.
  • Vendor Item Alias - Select to add vendor item aliases ID's for your item codes.
Trace On If a Trace Id was entered above for the vendor, select (Y = Yes/) to indicate that the vendor will be supplying traceable source product information, select (N = No) if the vendor will be supplying source product information that cannot be traced. See Trace Overview for more information.
   
  Trace Vendor Item Info Template Overrides
Trace Item Code Source Determines if the Vendor Override for the Vendors' source product ID will be entered at the time of receiving or default from the item ID, the Vendors' item alias or one of the text fields: A = Ask, V = Vendor Item Alias, I = Item, 1 = Text1, 2 = Text2, 6 = Text6, N = Not Using. The default is V = Vendor item alias.
Trace Item Attribute Name The name for the Vendor override Item Code field. The default is "Item Code".
Trace Item Code Field Size The length of the Vendor override Item Code field (8 to 25 characters). The default is 8.
Trace PO Number Source Determines if the Vendor override for the Vendor's source product purchase order number will be entered at the time of receiving or default from the Purchase Order Number or one of the text fields: A = Ask, T = Transaction Number, 1 = Text1, 2 = Text2, 6 = Text6, N = Not Using. The default is T = Transaction Number.
Trace PO Number Attribute Name The name for the Vendor override Purchase Order Number field. The default is "PO Number".
Trace PO Number Field Size The length of the Vendor override Purchase Order Number field (5 to 50 characters). The default is 5.
Trace Production Date Source Determines if the Vendor override for the Vendor's source product Production Date will be entered at the time of receiving or default from either of the two date fields: A = Ask, 7 = Date1, 8 = Date2, N = Not Using. The default is N = Not Using.
Trace Production Date Attribute Name The name for the Vendor override Production Date field. The default is "Prod Date".
Trace Batch Number Source Determines if the Vendor override for the Vendor's source product Batch Number will be entered at the time of receiving or default from one of the text fields: A = Ask, 1 = Text1, 2 = Text2, 6 = Text6, N = Not Using. The default is N = Not Using.
Trace Batch Number Attribute Name The name for the Vendor override Batch Number field. The default is "Lot Number".
Trace Batch Number Field Size The length of the Vendor override Batch Number field (8 to 50 characters). The default is 12.
Trace Custom1 Source Determines if the Vendor override for the Vendors' source product Custom 1 Field will be entered at the time of receiving or default from one of the text fields: A = Ask, 1 = Text1, 2 = Text2, 6 = Text6, N = Not Using. The default is N = Not Using.
Trace Custom1 Field Name

The name for the Vendor override Custom 1 field. The default is "Custom 1".

Trace Custom1 Size

The length of the Vendor override Custom 1 field (1 to 50 characters). The default is 10.

Trace Custom2 Field Source

Determines if the Vendor override for the Vendors' source product Custom 2 Field will be entered at the time of receiving or default from one of the text fields: A = Ask, 1 = Text1, 2 = Text2, 6 = Text6, N = Not Using. The default is N = Not Using.

Trace Custom2 Field Name

The name for the Vendor override Custom 2 field . The default is "Custom 2".

Trace Custom2 Size

The length of the Vendor override Custom 2 field (1 to 50 characters). The default is 10.

 

 

"Name of Item Info Template" Attributes

 

For each Item Info template attribute defined, the system will list the following fields for both the Item Info template linked source product fields and the additional Trace attributes that are not part of the Item info template.

 

Attribute The item info text field 1-6 and date 1-2 and the Vendor source product item attribute overrides used in the item info template.
Size

The length of the item info text field 1-6 and date 1-2 and the Vendor source product item attribute overrides used in the item info template.

NOTE: The Vendor source product item attribute overrides will be displayed in red with either the source, ask or system assigned field

Trace The Vendor source product item attribute override source for the attributes that do not come from the item info attribute (Item Code, PO Number and Batch Number)

 

 

Vendor Item Alias Fields

In House Item Code The item ID for your internal item code
In House Item name The item name for the item selected
Vendor Item Code The vendor's item ID code
Vendor Item Name The vendor's item name
